  1. Subject line says what it is and what you need: 'Decision needed: supplier invoice by Thu'.
  2. First line: the point or the request.
  3. Then the context, in short paragraphs or bullets.
  4. End with a clear next step and date.

Calendar basics

  • Accept or decline invites — do not leave them unanswered.
  • Put an agenda or purpose in any invite you send.
  • State the time zone when people are in different countries.
  • If you will be late or miss it, say so before it starts.

Reply within one working day, even if only to say when you will have a full answer.
