The original
"Hi! Busy week. I worked on the reports and made some progress on the onboarding stuff. Still waiting on a few things from your side. Let me know if you need anything!"
What is wrong with it
- 'Worked on' and 'some progress' cannot be evaluated, so the client must ask.
- 'Waiting on a few things' names nothing and no deadline, so nothing will move.
- 'Let me know if you need anything' hands the agenda back to the client, which is the opposite of an update's job.
- No next week, so the client cannot redirect you before you spend the time.
The rewrite
Done: report automated (runs Mondays 07:00); two duplicate accounts merged and logged. In progress: onboarding checklist — Wednesday. Needs you: stage names approved by Tuesday, otherwise I keep the current ones. Next week: handover doc draft. Risks: reduced capacity Thursday and Friday.
Same information, a third of the reading time, and every open item now has an owner and a date. Note the default again: silence does not block you.
Key takeaways
- Replace 'worked on' with the outcome delivered
- Every open item gets an owner and a date
- A stated default keeps a slow reply from blocking the week
